How we use information, access it, and use AI

How we use information

We use information to support campaign operations, volunteer coordination, communications, fundraising, events, outreach, compliance, and related civic and community organizing work.

This includes communicating with supporters, donors, volunteers, endorsers, and community members, organizing canvassing and phone banking, processing donations, complying with campaign finance law, improving campaign operations, responding to requests, and maintaining records necessary to carry out campaign and public-facing work.

We may also use information to support ongoing civic engagement, issue advocacy, volunteer coordination, future campaign activity, or related public service work connected to the Campaign’s mission, unless you ask us not to.

We do not sell personal information. Likewise, we do not casually repurpose personal information for unrelated commercial use.

Data access and handling

Access to personal information is limited to people who need it for campaign or related organizing work. This may include campaign staff, vetted volunteers, consultants, or contractors performing operational tasks.

We seek to limit unnecessary collection, reduce duplication, restrict access where appropriate, and remove access when it is no longer required.

Campaign data may be used for campaign work, volunteer coordination, civic engagement, issue advocacy, and future campaign or public service activity connected to the Campaign’s mission. Participation in community or issue-based work does not eliminate your ability to opt out, request deletion, or ask that your information not be used for future outreach.

Use of AI tools

The Campaign may use artificial intelligence tools in a limited and supervised role to support campaign and organizing operations.

This may include drafting emails, posts, flyers, website copy, canvassing scripts, fundraising materials, summarizing internal notes, organizing communications, assisting with research, and helping manage workflow.

Where practical, we seek to minimize or remove personal data before using AI tools. The Campaign does not intentionally upload full voter files or sensitive supporter records into general-purpose AI systems. AI-generated outputs are reviewed by people before being used operationally or publicly.

AI is used to support human decision-making, not replace it.

Any publicly used AI-generated visual content will be labeled.

Automated processing and prioritization

We may use software tools, including AI-assisted tools, to help organize, sort, tag, or prioritize campaign and organizing work. For example, some messages or submissions may be flagged for faster follow-up.

These tools support workflow and efficiency. Final decisions are not made solely by automated systems.

Sharing, donations, communications, and website tools

Sharing of information

We share information only as reasonably necessary to operate the campaign, support related organizing work, or comply with the law.

This may include trusted service providers and platforms such as Squarespace for website hosting, ProtonMail for communications, Donorbox and payment processors for donations. GoodParty.org for voter contact and organizing tools, analytics services, and social media platforms where you choose to engage with us.

Information may also be shared with campaign staff, vetted volunteers, consultants, or contractors who need access to perform campaign or organizing work. Access is limited where appropriate and may be subject to confidentiality expectations or non-disclosure obligations.

We do not sell personal information or share personal information for unrelated commercial use.

Donations and legal disclosure

If you donate to the Campaign, your information may be collected and processed by third-party fundraising and payment vendors.

Certain donor information may be collected, maintained, or disclosed as required by campaign finance and election law. Berkeley campaign materials also require record keeping sufficient to document campaign statements and retention of campaign records for four years from the date of the final report for the election.

Text and email communications

If you provide your contact information, we may contact you by email, phone, or text for campaign, volunteer, event, civic engagement, or organizing purposes.

Campaign texts may be sent using peer-to-peer or similar texting tools. Standard message and data rates may apply. You can opt out of text messages by replying STOP where applicable or by contacting us directly.

Campaign emails may include unsubscribe options where appropriate. You may also request removal from our communications by contacting us.

Cookies, analytics, and website tools

Our website may use cookies, analytics, and similar tools to understand traffic, improve performance, remember preferences, and support website operation.

These tools may collect limited technical information such as browser type, device type, referral information, and website activity.

We do not sell website visitor data. If we use advertising, audience, or retargeting tools in the future, this policy will be updated to reflect those practices.

Retention, security, and minors

Data retention

We keep information only as long as reasonably necessary for campaign operations, civic and organizing work, legal compliance, security, or record keeping.

Voter contact data may be deleted within 60 days after Election Day when it is no longer needed. Certain records may be retained for legal compliance, finance reporting, operational continuity, volunteer coordination, community organizing, issue advocacy, future campaign activity, or related public service work.

If you ask us to delete your information, we will review and honor that request where possible, subject to legal, compliance, security, and record keeping obligations.

Where campaign finance or filing law requires retention of records, those obligations control. Berkeley campaign materials state that treasurers must maintain campaign records for four years from the date of the final report for the election.

Data security

We use reasonable administrative, technical, and operational safeguards to protect information.

These may include password management, two-factor authentication, limited access controls, role-based permissions, encrypted or security-enabled platforms, locked devices, removal of unnecessary local copies, and removal of access when volunteers or staff no longer need it.

No system is completely secure, but we take steps to reduce unnecessary exposure and protect the information entrusted to us.

Children and minors

We do not knowingly collect personal information from children under 13 and do not intentionally collect personal information from individuals under 18 for campaign purposes.

If minors are present at campaign activities, they must be supervised by a parent or guardian, and any participation involving campaign work must be approved in advance.

If you believe a child has provided personal information to us without proper permission, contact us, and we will review and remove it where appropriate.
